International Summer Karting Lab 2026

Terms & Conditions

1. Organizer

The International Summer Karting Lab 2026 is organized by Giokart® and Brandevo Srl – Sport Management Division, in collaboration with Italcorse Kart Manufacturer (hereinafter referred to as “the Organizer”).

2. Eligibility

Participation is open to drivers:

•Aged 8 to 16 years

•With previous karting experience

Drivers who have never driven a kart are not eligible to participate.

Participants will be divided into the following categories:

•Cadet Category (8–12 years)

•KA100 Category (13–16 years)

•OK125 Category (13–16 years)

•KZ125 Category (14–18 years)

The Organizer reserves the right to refuse or revoke participation if eligibility requirements are not met.

3. Registration & Confirmation

Participation is subject to:

•Submission of the official application form

•Confirmation of availability by the Organizer

•Acceptance of these Terms & Conditions

•Payment of the required deposit

Registration is considered confirmed only upon receipt of payment.

4. Program Fee & Payment Terms

Total Program Fee:

€ 6,450 + VAT

Payment Schedule

•50% deposit of the total fee is required at the time of registration

•The remaining 50% balance must be paid no later than 30 days before the start of the program

Failure to complete payment within the specified deadlines may result in cancellation of participation, with forfeiture of the deposit.

5. Included / Not Included

The program fee includes

•Participation in the 5-day International Summer Karting Lab

•On-track training sessions divided by category

•Coaching and performance evaluation

•Technical support and academy staff

•Use of Italcorse equipment as specified

•Organizational, management and coordination services

The program fee does not include

•Transfers (airport, accommodation, circuit)

•Accommodation

•Meals

•Travel expenses

•Personal expenses

6. Accommodation & Logistics

The Organizer has agreements with selected hotels located near the circuit, offering special conditions for participants and families.

Accommodation booking remains the responsibility of the participant’s family. Families are free to arrange independent accommodation if preferred.

7. Cancellations & Refund Policy

•The 50% deposit is non-refundable under any circumstances.

•If cancellation occurs more than 30 days before the start of the program, no further payment will be required beyond the deposit.

•If cancellation occurs within 30 days of the program start date, the full program fee remains due.

•No refunds will be issued for:

•Late arrival

•Early departure

•Absence due to illness, injury, or personal reasons

8. Program Changes & Force Majeure

The Organizer reserves the right to:

•Modify the program schedule

•Change instructors, locations, or logistics if required

In case of force majeure events (including but not limited to adverse weather conditions, governmental restrictions, safety issues, or unforeseen circumstances), the Organizer shall not be held liable for cancellations or changes beyond its control.

9. Safety & Conduct

All participants must:

•Follow the instructions of instructors and staff at all times

•Respect safety rules, paddock regulations, officials, staff and other participants

•Maintain professional and respectful behavior on and off track

The Organizer reserves the right to exclude any participant whose behavior is deemed unsafe or inappropriate, without refund.

10. Liability

Motorsport activities involve inherent risks.

By accepting these Terms & Conditions, parents or legal guardians:

•Acknowledge and accept the risks associated with karting activities

•Release the Organizer, its staff, instructors, partners and collaborators from liability for accidents, injuries or damages, except in cases of gross negligence or willful misconduct

11. Insurance

Participants must hold valid personal accident and health insurance covering motorsport activities. Proof of coverage may be requested prior to participation.

12. Image & Media Rights

By participating, parents or legal guardians grant the Organizer the right to use:

•Photographs

•Video footage

•Audio recordings

for promotional, educational and communication purposes, without compensation and without time or territorial limitation.

13. Governing Law & Jurisdiction

These Terms & Conditions are governed by Italian law.

Any dispute arising from participation in the program shall be subject to the exclusive jurisdiction of the Court of Rome, Italy, unless otherwise required by mandatory law.

14. Acceptance

By completing registration and making payment, participants and their legal guardians confirm that they:

•Have read and understood these Terms & Conditions

•Fully accept all provisions herein

Privacy Policy & GDPR Compliance

(EU & Non-EU Participants)

1. Data Controller

The Data Controller for the processing of personal data is:

Brandevo Srl – Sport Management Division

(hereinafter referred to as “the Data Controller” or “the Organizer”)

Personal data will be processed in accordance with:

•Regulation (EU) 2016/679 (GDPR)

•Applicable Italian privacy laws

•Relevant international data protection standards for non-EU participants

2. Data Subjects

This Privacy Policy applies to:

•Drivers participating in the International Summer Karting Lab

•Parents or legal guardians of minor participants

All participants are minors; therefore, data processing is based on parental or legal guardian consent.

3. Types of Data Collected

The Organizer may collect and process the following personal data:

Driver Data:

•Full name

•Date and place of birth

•Nationality

•Karting category and experience

•Medical fitness information (limited to eligibility purposes)

Parent / Guardian Data:

•Full name

•Contact details (email, phone number, address)

•Identification data for contractual purposes

Additional Data:

•Images, videos and audio recordings taken during the program

•Logistical information related to participation

4. Purpose of Data Processing

Personal data is processed for the following purposes:

•Management and organization of the International Summer Karting Lab

•Registration, participation and communication

•Safety and eligibility verification

•Administrative, accounting and legal obligations

•Performance evaluation and internal reporting

•Promotional, communication and educational activities (images & media)

5. Legal Basis for Processing

Data processing is based on:

•Performance of a contract

•Compliance with legal obligations

•Legitimate interests of the Organizer

•Explicit consent of parents or legal guardians, especially for minors and media usage

6. Data Processing Methods

Personal data is processed using:

•Electronic systems

•Secure storage solutions

Appropriate technical and organizational measures are implemented to ensure:

•Data confidentiality

•Integrity

•Protection against unauthorized access or loss

7. Data Retention Period

Personal data will be retained:

•For the duration of the program

•For the time required by legal, accounting and tax regulations

•For promotional purposes until consent is withdrawn

Medical or sensitive data will be retained only as long as strictly necessary.

8. Data Sharing & Recipients

Personal data may be shared with:

•Instructors and technical staff

•Event partners involved in program execution

•Service providers (administrative, technical, insurance-related)

Data will never be sold or transferred for commercial purposes unrelated to the program.

9. International Data Transfers (Non-EU Participants)

For participants from non-EU countries, personal data may be transferred to or accessed from countries outside the European Union.

Such transfers are carried out:

•In compliance with GDPR Articles 44–49

•Using appropriate safeguards

•Based on explicit consent where required

10. Image, Video & Media Consent

By accepting these Terms & Conditions, parents or legal guardians authorize the Organizer to use:

•Photographs

•Video footage

•Audio recordings

of the participant for:

•Promotional materials

•Institutional communication

•Educational and training purposes

Usage is granted free of charge, without time or territorial limitations.

Consent may be withdrawn at any time in writing, without affecting prior lawful use.

11. Rights of the Data Subject

Parents or legal guardians have the right to:

•Access personal data

•Request correction or update

•Request deletion (where legally applicable)

•Restrict or object to processing

•Withdraw consent at any time

•File a complaint with the competent Data Protection Authority

Requests may be submitted in writing to the Organizer.

12. Mandatory Data Provision

Providing personal data is mandatory for participation in the program.

Failure to provide required data may result in:

•Inability to complete registration

•Exclusion from the program

13. Acceptance

By registering the participant and completing payment, parents or legal guardians confirm that they:

•Have read and understood this Privacy Policy

•Provide informed consent to the processing of personal data

•Authorize data processing for the purposes described herein

LIABILITY WAIVER & RELEASE OF RESPONSIBILITY

International Summer Karting Lab 2026

1. Parties

This Liability Waiver and Release of Responsibility (hereinafter “Waiver”) is executed by the undersigned parent(s) or legal guardian(s) of the minor participant (hereinafter “the Participant”) in favor of:

Giokart® and Brandevo Srl – Sport Management Division

(hereinafter referred to as “the Organizer”)

in relation to participation in the International Summer Karting Lab 2026.

2. Acknowledgment of Risk

The undersigned acknowledge that karting and motorsport activities involve inherent risks, including but not limited to:

•Personal injury

•Serious bodily harm

•Permanent disability

•Property damage

•Death

These risks may arise from, but are not limited to:

•Driving activities

•Mechanical failures

•Track conditions

•Weather conditions

•Actions or omissions of other participants

The undersigned fully understand and accept these risks on behalf of the Participant.

3. Assumption of Responsibility

The undersigned confirm that:

•The Participant is in good physical and mental health

•The Participant is fit to participate in motorsport activities

•The Participant has previous karting experience, as required by the program

•All information provided during registration is truthful and accurate

The undersigned assume full responsibility for the Participant’s participation in the program.

4. Release of Liability

To the fullest extent permitted by law, the undersigned hereby release, waive and discharge the Organizer, its directors, employees, instructors, partners, collaborators, sponsors, circuit operators and staff from any and all liability for:

•Injury or death

•Damage or loss of property

•Any other loss or damage

arising from or related to participation in the International Summer Karting Lab 2026, except in cases of gross negligence or willful misconduct.

5. Indemnification

The undersigned agree to indemnify and hold harmless the Organizer from any claims, demands, actions or damages brought by third parties arising out of the Participant’s conduct during the program.

6. Compliance with Rules & Instructions

The undersigned acknowledge that:

•The Participant must strictly follow all safety rules

•Instructions given by instructors, staff and officials are mandatory

•Failure to comply may result in immediate exclusion from the program

Such exclusion shall occur without refund.

7. Equipment & Property Damage

The undersigned accept responsibility for any damage caused by the Participant to:

•Karts

•Equipment

•Facilities

•Third-party property

Any damage caused by negligent or inappropriate behavior may be charged to the Participant’s family.

8. Medical Treatment Authorization

In the event of illness or injury, the undersigned authorize the Organizer to:

•Provide or arrange emergency medical treatment

•Contact medical professionals or emergency services if necessary

All medical expenses remain the responsibility of the Participant’s family.

9. Insurance

The undersigned confirm that the Participant is covered by valid personal accident and health insurance, including motorsport activities, for the entire duration of the program.

10. Governing Law & Jurisdiction

This Waiver shall be governed by Italian law.

Any dispute arising from this Waiver shall fall under the exclusive jurisdiction of the Court of Rome, Italy, unless otherwise required by mandatory law.

11. Final Declaration

By signing below, the undersigned declare that:

•They have carefully read and understood this document

•They voluntarily accept all terms and conditions

•They sign this Waiver freely and without coercion

•They fully accept responsibility on behalf of the minor Participant
